Event Stage Hire: UK Organisers’ Size, Access and Build Comparison

Compare indoor event stage hire quotations using the same platform dimensions, access requirements and installation scope. JTH supplies steps and skirting, with handrails and ramps optional; STLS includes steps, handrails and skirting and offers either full service or dry hire.[1][6] Those differences belong in the quotation, not in assumptions about what “stage hire” includes.

Compare suppliers on three dimensions

JTH

Platform sizes and heights: Modular staging is supplied in multiples of 2m², with a range of heights.[1] Ask for the proposed finished height.

Access and finish: Steps and stage skirting are supplied; handrails and access ramps are optional extras.[1]

Installation and removal: Ask JTH to itemise delivery, installation and removal inclusions and charges.

BE Event Hire

Platform sizes and heights: BE plans configurations around room dimensions, available space and intended use.[2] Request the proposed deck dimensions and finished height.

Access and finish: Steps and handrails require advance discussion so the arrangement can be planned for the venue and use.[2] Ask BE to confirm ramp and skirting inclusions.

Installation and removal: BE can provide delivery, installation and collection, but these are not established as included in every equipment price.[2]

Portman

Platform sizes and heights: Portman lists 2m × 2m, 3m × 2m, 4m × 2m, 5m × 2m and 6m × 2m platforms, plus custom configurations.[4] Heights are adaptable; ask for the proposed finished height.[4]

Access and finish: Request confirmation of the platform finish, steps, handrails, ramps and skirting.

Installation and removal: Delivery, professional installation and breakdown are included in London.[4]

STLS

Platform sizes and heights: Request the proposed deck dimensions and finished height.

Access and finish: Skirting, steps and handrails are included. Accessible ramps and disabled viewing platforms are standard options, rather than stated inclusions.[6]

Installation and removal: Full service comprises delivery, build, level checks and de-rig; dry hire is available for customers using their own crew.[6]

Separate equipment rates from the installed total

JTH advertises hire from £20 per m².[1] Ask JTH to confirm VAT treatment, hire duration and delivery, installation and removal charges. Do not treat that starting rate as a complete installed-stage price.

Request lines for deck hire, accessories, transport, build, level checks, removal, travel and VAT, identifying any minimum charge. This is a quotation format—not an assumption that each item attracts a separate fee. Compare the same hire period and service scope.

Confirm coverage for the actual venue. Portman’s included delivery, installation and breakdown apply in London; STLS says UK-wide travel costs depend on distance, scale and crew.[4][6]

Specify dimensions, height and intended use

Give suppliers a layout and use brief, not just a deck area:

  • Event date, venue address and audience numbers.
  • Usable platform width × depth and preferred finished height.
  • Presentation or performance activity, including people and equipment expected on the platform.
  • Accessibility needs and the required steps, rails, ramps and skirting.

BE links configuration to room dimensions, available space and intended use; STLS asks organisers to raise accessibility needs in the brief.[2][6] Keep usable deck space distinct from the surrounding access provision when requesting a layout.

JTH’s stated 2m² supply multiple is not a published module length-and-width specification.[1] Ask for the proposed arrangement against your required width and depth.

JTH reports a loading capability of up to 750kg/m².[1] That published capability is not an assessment of your proposed use. Ask JTH to confirm suitability and documented limits for the people, equipment and activity described in your brief; do not extend its rating to another supplier’s system.

Agree venue access and working windows

Send the supplier and venue the same access brief alongside the platform specification. Include:

  • Loading arrangements, vehicle access and parking.
  • The route to the room, with door and lift measurements.
  • Floor-protection expectations and venue restrictions.
  • Crew arrival, unloading, build completion and handover times.
  • Event clearance and removal deadlines.

Obtain event-specific requirements and timing estimates rather than assuming standard clearances or build times.

Ask the supplier and venue to agree the working windows in writing. Identify who checks the delivery route and coordinates changes if conditions differ on the day. Include other equipment only where its position or installation affects access to, or work on, the platform.

Set handover and responsibility boundaries

Ask the quotation to name who supplies, installs, checks, hands over and removes the platform—and who accepts it for the organiser or venue. STLS’s full-service and dry-hire choices make this distinction explicit.[6]

Ask each supplier to confirm its handover-document arrangements:

  • Which completion or inspection records will be supplied?
  • What load information, risk assessments and method statements are available?
  • Will there be a handover or acceptance record, and who signs it?
  • What limits on use apply, and who handles issues or changes after handover?

Request the documents and responsibilities as part of the quotation, rather than leaving them until the build is complete.

What to confirm with each provider

Resolve these remaining points in the quotation and accompanying hire terms:

  • Price: hire period, VAT treatment, minimum charges, deposits, payment dates and the complete installed total.
  • Changes: cancellation and refund conditions, plus charges for altered timings or scope.
  • Damage and returns: responsibility for damage, deposit deductions, warranty provisions and late-return charges.
  • Exclusions: outstanding accessory inclusions and boundaries between equipment hire, installation and removal.

Obtain the actual conditions before accepting a quotation.

Send the same brief to each shortlisted supplier, then mark every returned line included, optional with a price, excluded or awaiting confirmation. Choose on confirmed suitability, complete scope and total quoted cost—not the lowest equipment rate.
