UK wedding car hire for couples: compare scope and booking terms
Regency vs VIP: compare coverage, car confirmation and photo time
Compare Regency Wedding Cars and VIP Chauffeurs by service area, when the particular car is confirmed, and how waiting and photography time are agreed—not by photographs alone.[1][3]

Regency Wedding Cars
- Service area: Regency lists Chesterfield, Sheffield, Rotherham, Derbyshire, South Yorkshire and Nottinghamshire.[1]
- Vehicle confirmation: Its guidance advises confirming the exact vehicle, passenger capacity and availability period, and checking whether online photographs show the actual cars available. This is booking advice, not a contractual guarantee of a particular vehicle.[1]
- Waiting and photographs: Regency says its chauffeur package should normally include agreed collection and drop-off times, with sufficient time for photographs. Ask for the ceremony wait and photography window to be specified in the booking.[1]
VIP Chauffeurs
- Service area: VIP describes coverage across London and the wider UK, naming Richmond, Chelsea and Kensington.[3]
- Vehicle confirmation: Initially, only the vehicle class is confirmed; model, colour and specification depend on availability until booking confirmation.[3]
- Waiting and photographs: VIP says the ceremony-to-reception wait is written into the booking, alongside a written running order. It also plans the car’s position for photographs without blocking the entrance.[3]
Regency’s advice to confirm the exact car and VIP’s class-first process are different approaches, not equivalent vehicle commitments.[1][3] If both cover your venues, ask when the particular vehicle and waiting/photo window become binding.
Ask both suppliers to itemise the same quote
Ask whether each quote is point-to-point, hourly or based on a bespoke itinerary. Transporter Executive recommends separating waiting, additional journeys and mileage rather than assuming they are included.[5] Request an allowance and any extra charge against each entry:
- Chauffeur/service time: start and finish times.
- Ceremony waiting: continuous availability or a timed return.
- Photographic stops: locations and time allowed.
- Mileage: included distance and the extra-mileage rate.
- Additional journeys: extra collections, return journeys and any late-evening collection, each priced separately.[5]
“Waiting included” does not necessarily mean the car stays outside throughout the ceremony. VIP explains that parking restrictions may require the chauffeur to reposition and return to an agreed collection point.[3] Ask for parking, tolls, extra stops and extra hours to be identified: VIP says itinerary-dependent extras and timing changes can affect price or availability.[3]
Regency advertises “from £199”, a starting price rather than a quote for your itinerary.[1] Request an all-in total from both suppliers against the same written specification, with variable charges clearly marked.
Check the actual car fits clothing, luggage and access needs
VIP says final capacity depends on the confirmed vehicle and actual items—including gowns, veils, bouquets, luggage, child seats and mobility aids—not simply the passenger count.[3]
Ask to inspect the proposed car or request relevant photographs and measurements. Focus on:
- Getting in and sitting comfortably: check door openings, sill height, rear-seat width and headroom against your clothing and access needs.[3]
- Boarding support: explain any assistance or extra boarding time needed; Transporter Executive specifically requests reduced-mobility and slower-boarding requirements.[5]
- Venue access: check narrow lanes, gates, steep drives and turning space against the proposed vehicle.[3]
Ask each supplier to confirm the actual car’s passenger configuration in writing, accounting for clothing, luggage and access requirements.[1][3]
Establish who owns the car and delivers the booking
Regency describes itself as family-run and owner-operated, and says it books one wedding per day per car.[1] Ask VIP to confirm ownership of the vehicle and whether it acts as an intermediary.[3]
Before paying, ask each supplier:
“Please identify the legal business we are contracting with, the vehicle owner, the operator supplying the car and chauffeur, and the payment recipient. Which business is responsible for fulfilling our agreed itinerary and handling any failure to provide the service?”
Keep the answer with the booking agreement rather than relying on the trading name alone.
Turn your itinerary into a written running order
Send both suppliers the same running order. VIP asks for detailed journey information, while Regency advises confirming the ceremony time and itinerary.[1][3] Include:
- Booking: wedding date; exact vehicle or unresolved class; passenger total; luggage and other items.[1][3]
- Journey: collection address and time; ceremony address and time; every stop; final destination; any return journey.[1][3][5]
- Photography: location and requested window, with postcodes for each venue and the final drop-off.[5]
- Planning notes: provisional timings and access requirements, including reduced mobility or slower boarding.[3][5]
End with “Requested final release time: ___” and ask the supplier to agree when the car and chauffeur may leave after waiting and photographs. Keep the requested time distinct from the confirmed time.
What to confirm with each provider
The cited Regency and VIP pages do not state exact included mileage, excess-mileage rates, breakdown substitution terms, payment and cancellation terms, final release times or overrun rates; neither gives a numeric photography allowance, and VIP’s page gives no comparable price.[1][3] Request written answers before paying:
- Breakdown or unavailability: when and how will you be notified? What replacement model or class, colour and passenger capacity could be offered? How would you accept or decline it, and who would pay additional costs?
- Payment and cancellation: what deposit is payable, when are payments and the balance due, and what cancellation charges apply at different stages? What happens if the supplier cancels, and which refund terms apply?
- Release and delays: exactly when may the car leave? If proceedings run late, how are overruns charged, and does an extension depend on availability?
- Time and mileage allowances: how much ceremony waiting and photography time is included, what distance is covered, and what are the charges beyond those allowances?
Choose against the complete written offer: venue coverage, an acceptable confirmed car, practical passenger fit, enough journey and photography time, and a clear price with responsibilities agreed. Ask for the vehicle details, itinerary, inclusions and change terms to appear consistently in the booking paperwork before committing.
