A commercial floor-cleaning quote is only comparable when it covers the same surfaces, soil conditions, working hours and reopening responsibilities. UK facilities managers should start with a room-by-room schedule and ask contractors to return a method and price against that schedule.

Keep routine cleaning and periodic treatment separate

Describe the result required in each area: routine soil removal, a periodic deep clean or a specialist treatment needing assessment. Identify the floor material from reliable site records where possible and mark unknown finishes. Do not ask a bidder to assume that visually similar surfaces tolerate the same process.

For every area, record approximate measured size, current use, known stains, furniture constraints and the available work window. Include photographs as context, while recognising that they do not replace a site survey or prove the substrate’s condition.

Ask for an access and reopening plan

HSE identifies wet floors and trailing cables as cleaning-related slip and trip risks. It also explains that warning signs and cones warn people but do not prevent access; arrangements such as barriers or cleaning in sections may be needed.[3]

Ask the contractor and site manager to agree the work area, pedestrian diversions, equipment routes and controls appropriate to the site. Record who checks the area before it is reopened. A generic “out-of-hours cleaning” line does not explain what happens when staff, security teams or deliveries still need access.

Do not impose a universal drying time from an article. Have the bidder state its assumptions about the method, surface, ventilation and site conditions, then explain how readiness for reopening will be assessed. Keep a contingency for areas that cannot be handed back when expected.

Compare quotes using the same work schedule

  • Included area and frequency: list each room, surface and visit or treatment. Separate periodic work from the recurring price.
  • Preparation: identify who moves and replaces furniture, protects adjacent areas and provides access to water, power or storage where needed.
  • Method and limitations: request the proposed process and a clear distinction between removable soil, stains with uncertain outcomes and physical damage outside the cleaning scope.
  • Commercial additions: itemise attendance outside the normal window, parking or access charges, minimum visits and any treatment quoted after inspection.
  • Contract terms: obtain the actual notice period, variation process, missed-visit remedy and cancellation conditions in writing.

Keep taxes and the quote’s validity period visible. Do not infer a contractual right from a marketing phrase such as flexible service.

Agree what acceptance looks like

A proposed first-visit acceptance sheet can list the area, observed pre-existing damage, treatment completed, remaining exceptions and reopening sign-off. For an unfamiliar surface or uncertain stain, ask whether an appropriate assessed trial area is needed before committing to the wider treatment.

Review the first completed visit with the contractor. Compare the agreed work with the handover record rather than relying only on whether the floor looks shinier. Choose the proposal that explains surface suitability, access control and repeatable service delivery at a clearly defined price.
