Event Linen Hire for UK Organisers: Compare Fit and Return Costs
Compare Linen for Hire and Special Occasion Linen on samples, delivery and return preparation, with 88 Events’ and Expo Hire’s published policies as reference points, then choose the quote with written approval of table fit, quantities and charges. Both offer swatches, but their stated return instructions differ.[1][3]

Compare samples, delivery and returns
Linen for Hire
- Samples: Request fabric swatches through the relevant fabric link, by telephone or by email.[1]
- Delivery: Standard delivery and collection run from 8am–5pm Monday–Friday; timed, weekend and same-day services cost extra.[1] Its FAQs mention couriers outside its delivery areas but do not define those boundaries, so confirm coverage for the venue’s postcode.[1]
- Return preparation: Return linen unwashed in the supplied linen bag, with the Customer Return Form; washing is included in the hire price.[1]
Special Occasion Linen
- Samples: Choose free individual swatch cards or a full Colour Collection swatch pack; ask about the pack’s cost rather than assuming it is also free.[3]
- Delivery: Delivery is available across the UK through its logistics team or a courier.[3] Special Occasion Linen does not publish a delivery window or say whether washing is included.[3]
- Return preparation: Linen must be dry and placed in the pre-labelled returns bags for collection by its logistics team or courier.[3]
Review a physical sample before committing, then record approval of the exact fabric and colour. Check whether the venue can accept the proposed delivery window and prepare the linen for collection.
Approve table fit and piece counts in writing
Record each table’s shape, dimensions and height, intended cloth drop, supplier-approved cloth size, fabric, colour and quantity in an order schedule. Ask the supplier to approve the fit in writing: 88 Events says its sizing advice depends on the table or chair information the customer provides.[2]
Agree spare quantities rather than combining suppliers’ allowances. Expo recommends one napkin per guest plus 5% spare; CanDo suggests around a 10% buffer for late additions, spillages or another sitting.[4][5] These are separate recommendations, so ask the quoting supplier to confirm the allowance for your order.
Finish the schedule with confirmed quantities, agreed buffer stock, delivery and collection times, and one informed on-site contact. CanDo recommends written confirmation of those arrangements and a contact who knows where the linen is, how to reach the supplier and what has been agreed for collection.[4]
Separate washing from stain and damage charges
Linen for Hire: Included washing does not mean damage is ignored: the supplier issues a report describing and counting damaged pieces, with photographs, after warehouse check-in, then contacts the customer. The report itself is not an invoice.[1]
Special Occasion Linen: Ask for an explicit answer about washing in the quote rather than treating its dry-return instruction as a cleaning policy.[3]
88 Events: Food and wine spills and grease marks from non-coloured candle wax generally incur no charge, but unsuccessful rewashing may lead to a bill.[2] It identifies mildew, coloured wax, ink and some oils, including clarified butter, as difficult stains; rips, tears and burn holes are chargeable.[2]
Expo Hire: Its “Send It Back Dirty” offer names crockery, glassware and cutlery, rather than tablecloths or napkins, so do not apply that promise to linen.[5]
Ask each shortlisted supplier to separate routine washing, stain treatment, irreparable damage and missing-piece replacement. Request the charging basis for each rather than accepting “cleaning included” as the complete answer.
Check what collection counts—and who remains responsible
Collection is not necessarily a final piece-count sign-off. At 88 Events, collection staff count containers, not individual items; detailed counting and inspection happen after warehouse return.[2] The hirer remains responsible when items are delivered to a venue or third party, and a further collection charge applies if missing items require a return visit after the agreed date.[2]
Ask Linen for Hire and Special Occasion Linen whether individual pieces are checked at collection rather than assuming they follow 88 Events’ process.
Appoint a named venue handover lead, give them a piece checklist and ask them to confirm every return bag is gathered before collection. Treat this as an organisational safeguard, not a release from hire responsibilities.
Check Expo Hire’s access and delay costs
Expo Hire’s delivery and collection use one driver with a 15-minute allowance unless two-person carriage is purchased. Access must generally be within 50 metres of the vehicle, and stairs or lifts need prior approval.[5]
Expo’s published delay charge is £120 per hour or part-hour when access problems or goods not being ready cause delays.[5] A wasted-journey charge applies if delivery or collection is impossible, or collection access is denied, blocked or impassable; parking tickets are also passed on while appealed.[5]
Check with the venue where the vehicle can load, whether the route is clear, whether there are stairs or lifts, and who will have everything ready for collection. Get Expo’s written acceptance of non-standard access rather than relying on the venue’s assurance that deliveries usually work.
Compare the total and unresolved charges
Ask for two separate lists:
- Confirmed event costs: linen quantities, hire period, VAT, delivery, collection and any timed-service surcharge.
- Contingent charges: stains, damage, missing pieces, late returns, additional collections and cancellation, with an amount or calculation basis for each.
Linen for Hire takes price enquiries by phone or email and has no minimum order—even a single item can be hired.[1] Expo’s delivery starts at £40 excluding VAT, depending on road distance; this is a delivery starting price, not an event total.[5]
What to confirm with each provider
These suppliers do not publish the following details in their FAQs or guides; keep them marked “quote required”:
- Linen for Hire: item prices, exact late-return and replacement charges, and cancellation terms. Its statement that unused items are non-refundable after leaving its premises is not a full cancellation policy.[1]
- Special Occasion Linen: minimum order, hire duration, delivery window, deposit, washing inclusion, stain and replacement fees, and cancellation terms.[3]
- 88 Events: exact extra-collection and replacement charges, and cancellation terms.[2]
- Expo Hire: the wasted-journey amount, exact replacement charges and cancellation terms; also request confirmation of VAT treatment for the delay charge.[5]
