How to choose concrete coring in Ontario: scope and handover

Choose a concrete-coring contractor by asking each bidder to price the same authorised opening schedule, confirm site coverage and put charges, responsibilities and completion records in writing. Keep approved dimensions separate from assumptions awaiting confirmation.

Build a quote-ready schedule for every approved opening

Canadian Cutting and Coring’s quote form asks for job location and project description.[1] Concrete Insight’s Maryland-focused contractor-selection guide recommends defining diameters and depths and checking capability for the relevant substrate, structure and access conditions.[4]

Use this proposed procurement template to create a separate schedule entry for every approved opening:

  • Identity and location: opening ID; drawing number and revision; building, level and room; grid or other approved location reference; and quantity.
  • Approved geometry: diameter; drilling depth or member thickness, clearly identifying which is recorded; through-opening or specified termination; and drilling orientation.
  • Member information: substrate and member description, available reinforcement and embedded-service information, scan-report reference and authorisation reference.
  • Access: conditions on the drilling side and opposite side, including restrictions the contractor should allow for.
  • Confirmation status: mark unresolved items “unknown—confirmation required” rather than assuming dimensions or conditions.

Record units alongside dimensions. Keep the location, diameter and depth tied to the same opening ID so the quotation and completion record can refer back to the approved entry.

Ask contractors to flag equipment or access limitations against the affected ID, rather than substitute a location, diameter or depth. Keep proposed changes separate from the approved schedule until authorised.

Check service coverage and the estimate process

Send the opening schedule with your enquiry. Request written confirmation that the contractor accepts the site, access window and requested work—not simply that it lists core drilling.

Metro Concrete Cutting & Coring is based in Etobicoke and serves the GTA and surrounding area. It lists slab sawing, wall sawing, core drilling, scanning and removal, offers project-specific free quotes, and says it will visit the site.[2] Ask whether your address and attendance window are covered, and keep the free estimating offer separate from charges for drilling, travel or work attendance.

Canadian Cutting and Coring is based in Brampton and describes its work as concrete cutting, coring and imaging across Ontario.[1] Its quote form lets buyers select core drilling alongside GPR scanning, digital concrete X-ray and private utility locates, and it promises a detailed estimate based on the scope, site and timing you send.[1] Confirm that your particular job address is within its working area.

Obtain the governing documents. Canadian Cutting and Coring says its General Terms and Conditions and Damage Prevention Terms and Conditions govern the work, and links both as PDFs.[1] Request them with the estimate and read them against the proposed scope.

If Metro’s summer-sale banner influences the enquiry, request the offer price, inclusions, eligibility and validity dates in writing; the page gives none of them.[2]

Carry forward the scan and authorisation handover

For work whose scanning and structural questions are resolved, carry the authorisations into the drilling package rather than reopening the design process. Keep scan findings separate from permission to cut reinforcement or post-tensioning.

As background, South East Scanning, a scanning provider in South East Queensland, Australia, recommends scanning before coring and using the findings to inform an engineer’s structural assessment.[5]

Include these handover controls in the drilling instruction:

  • Attach the relevant scan report and marked-up information, approved drawing revision, and references to the engineer or owner authorisations applicable to the work.
  • Name who resolves mismatches between site markings, drawings and scan information.
  • Agree that an affected opening waits until a discrepancy is resolved and the drilling instruction is confirmed in writing.

Keep any revised instruction linked to the opening ID, so the contractor can distinguish the approved work from a proposed change.

Agree access, opposite-side protection and core capture

Ask what makes each opening ready for attendance. Concrete Insight recommends checking experience with the relevant structure, substrate and unusual access conditions.[4] Lyca Survey, which provides Dubai-focused scanning, survey support and controlled-coring coordination, flags tight mechanical rooms, elevated areas and occupied-building controls as planning considerations.[3]

Turn those considerations into a written readiness checklist:

  • Working position and entry: confirm access requirements at each opening, including restricted rooms, elevated work areas and the opposite side. Name who arranges keys, escorts and work windows.
  • Protection and restrictions: assign work-area controls on both sides and protection of occupants, equipment and finishes. Agree how occupied-space arrangements will be communicated.
  • Core retention or capture: request the contractor’s approach and any opposite-side access it needs. Identify who receives captured cores, moves them out of the work area and removes them from site.
  • Equipment and services: confirm who supplies agreed access equipment and the water and power arrangements the contractor needs.
  • Readiness failure: agree who confirms readiness before dispatch and how unavailable access, equipment or services affect attendance charges.

Allocate slurry, making good and firestopping

Name an accountable party for each cleanup and reinstatement task rather than accepting “cleanup included”. Concrete Insight recommends asking about slurry containment; Lyca Survey discusses water management, dust containment and controlled debris removal.[4][3]

Separate the responsibilities in the written scope:

  • Water supply: who provides the connection and agreed supply arrangements?
  • Containment and collection: who contains drilling water, collects slurry and gathers debris?
  • Removal and disposal: who transports collected material off site, and what disposal arrangements are proposed? Record these separately from collection.
  • Temporary protection: who maintains it between drilling and follow-on work, and who removes it?

Define the intended end condition separately from repairs. Specify the authorised service opening as the deliverable, distinguishing it from unintended damage, surrounding finish repairs and temporary protection.

Assign making good, finish reinstatement, sealing and any required firestopping to named parties, with the project team defining the applicable requirements. Ask each responsible follow-on trade for agreed completion evidence, such as photographs and confirmation its specified work is complete, and include that obligation in its scope.

Compare the complete price, not a headline rate

Neither contractor publishes drilling rates, so request a breakdown against the approved opening schedule.[1][2] As background—not an Ontario pricing benchmark—Concrete Insight identifies hourly, per-foot and per-sample billing, minimum job sizes, inclusions, extras and scope-change contingencies as points to examine.[4]

Ask each bidder the same pricing questions:

  • Billing basis: is the estimate hourly, per opening, by drilled length or another method? State the unit and measurement convention, including how diameter affects the price. If time-based, establish when chargeable time starts and stops.
  • Minimums and attendance: request any minimum invoice or attendance period, plus mobilisation, travel and setup charges. Establish whether a minimum applies to the commission, each visit or each work area.
  • Conditions and extras: request prices, allowances or an agreed pricing method for difficult access, unusual substrate or reinforcement conditions, out-of-hours work, waiting time, additional protection, water management and disposal.
  • Return attendance: establish whether unavailable access, incomplete readiness, changed locations or a separate work phase triggers another charge. Obtain the amount or calculation method before booking.

Have each item marked included, excluded or chargeable under stated conditions. Send bidders the same schedule and assumptions, then ask them to reconcile exclusions and allowances against it.

Compare the total for that defined scope, including agreed minimums and extras. Keep unresolved allowances visible rather than treating them as included at no cost.

Set payment, change and return-visit terms

Review the full terms alongside the scope and total. Canadian Cutting and Coring offers new customers a credit application; treat it as an application, not agreed credit terms.[1] Concrete Insight recommends checking payment schedules, contract terms and contingencies for changes or unusual conditions.[4]

Record the following before accepting:

  • Contract documents: name the contracting parties, included drawing revision and exclusions. Agree which document takes precedence if the estimate, scope and standard terms conflict.
  • Payment: record any deposit, approved credit arrangements, payment milestones, invoice requirements and the event starting the payment-due period.
  • Booking: agree postponement and cancellation notice periods, charges and refund treatment, along with return-attendance charges when work cannot proceed or quantities change.
  • Changes: name who may approve extra work. Require written agreement on the changed scope, pricing basis and schedule effect before proceeding.
  • Unexpected conditions and remedies: agree when work pauses, who decides the next step, and how disputed openings or workmanship defects will be assessed and remedied, including any offered warranty period.

Define the opening record and completion acceptance

Make the handover record part of the agreed scope, linked to the original opening IDs. Request an as-drilled opening record containing:

  • Identification: opening ID, location, governing drawing revision and completion date.
  • Completed dimensions: recorded diameter and depth, or confirmation the opening passes through, plus agreed photographs linked to its ID.
  • Exceptions: authorised deviations and approval references, incomplete or omitted openings, and any damage.
  • Closeout status: cleanup completed, outstanding work and the named party responsible for each follow-on task.

Agree who checks the openings, which project-approved criteria and tolerances apply, when discrepancies must be reported, and who can authorise remedial work and charges. Keep unresolved items on the record until their disposition is agreed.

Keep penetration acceptance separate from laboratory sampling. Concrete Insight recommends agreeing report formats, core logs and sample-analysis arrangements for relevant work.[4] Request test-core reports or compressive-strength results only if testing is separately commissioned.

What to confirm with each provider

Neither contractor’s cited page states drilling prices, attendance minimums, cancellation or warranty terms, project-specific authorisation procedures, responsibility allocations or opening-acceptance procedures; Canadian Cutting and Coring’s terms are in its linked PDFs.[1][2]

Before accepting an estimate, obtain a written package covering:

  • The agreed opening schedule, revisions and authorisation references.
  • Confirmed service coverage for your address, access arrangements and work windows.
  • The complete pricing basis, minimums, allowances and extras.
  • Assigned opposite-side protection, core capture, slurry disposal, making-good and firestopping responsibilities.
  • Payment, cancellation, postponement, change and return-attendance terms.
  • The opening record, acceptance process and agreed defect remedies.

Resolve unanswered items before committing to attendance, rather than leaving them for the drilling crew to settle on site.
